Privacy policy

Maxie Consult Company Limited (“Maxie Consult”, “we”) respects your privacy. This policy explains what personal information we collect through our website, mobile apps and services, why we collect it, how we protect it and the rights you have under the Personal Data Protection Act, 2022 of Tanzania.

1. Who we are

We are a consultancy registered in Tanzania (registration number 159312771, TIN 159-312-771), located at PBZ Building, City Centre – Nyerere Square, Dodoma Urban, P.O. Box 712, Dodoma, Tanzania. We are responsible for the personal information described in this policy. You can reach us about privacy at contact@maxieconsult.co.tz.

2. Information we collect

  • Information you give us — your name, email address, phone number, organisation, job title and the content of your message when you contact us, request a proposal, register for training, apply for a role or subscribe to our newsletter.
  • Documents you send — terms of reference, briefs, CVs and similar files you attach to a form.
  • Payment information — the amount, currency, reference and status of payments. Card and mobile money details are entered on our payment providers’ secure pages (DPO Pay and Snippe); we never see or store your card number or PIN.
  • Technical information — basic information such as your browser type and the pages you visit, and a keyed (non-reversible) hash of your IP address that we use to prevent abuse. We do not use advertising or tracking cookies.
  • Client information — institutional data and documents shared with us in the course of an assignment, which we handle under our contract and any confidentiality agreement.
  • Our mobile apps — the details you enter in the app’s forms, as described above. If you switch on notifications, the app sends us a notification token issued by Google (Android) or Apple (iPhone), the topics you chose and the app’s language, so that we can send them. Bookings made in the app are linked to a random code kept on your phone. The QR code scanner uses Google’s ML Kit: the camera image is read on your phone and is not sent to us, and ML Kit may send Google basic diagnostic information (such as device model, system version and performance data). The app does not use advertising identifiers.

3. How we use it

  • to answer your enquiry and prepare proposals;
  • to manage training bookings, payments, receipts and certificates;
  • to deliver consulting services under a contract;
  • to assess job and associate applications;
  • to send our newsletter, only if you have confirmed your subscription;
  • to keep our website and systems secure and to meet our legal and tax obligations.

We rely on your consent (which you can withdraw at any time), on the need to take steps at your request before entering into a contract, on performing a contract with you, and on our legal obligations.

4. Sharing

We do not sell or trade personal information. We share it only with service providers who help us operate — website hosting, email and SMS delivery, and payment processing — under confidentiality obligations, with authorities where the law requires it, and with our team members who need it to serve you.

5. Storage and security

We use encrypted connections (TLS), access controls with two-factor authentication for staff, private storage for documents you upload, and regular updates and backups. Some of our service providers may process data outside Tanzania; where they do, we require appropriate safeguards.

6. How long we keep it

Enquiries and proposal requests are kept for up to three years; unsuccessful job and associate applications for up to two years; financial records for the period required by tax law. Newsletter data is deleted when you unsubscribe, apart from a record that you did so.

7. Your rights

You may ask to access, correct or delete your personal information, object to or restrict its use, withdraw consent, and unsubscribe from our newsletter at any time using the link in each email. To exercise these rights, write to contact@maxieconsult.co.tz. If you are not satisfied with our response, you may complain to the Personal Data Protection Commission.

How to ask us to delete your data

This applies to our website and to the Maxie Consult apps for Android and iPhone.

  1. Email contact@maxieconsult.co.tz from the email address you used with us, with the subject “Delete my data”. If you can, include the reference of your enquiry, proposal request or booking (for example MC-ENQ-26-ABC123).
  2. We may ask you to confirm that the data is yours, and we will tell you when it has been deleted.

We delete your enquiries and proposal requests with the documents attached to them, your job and associate applications, your newsletter subscription and any notification token your app sent us. We keep receipts, invoices and payment records for the period required by tax law, the record of any certificate we issued to you so that it can still be verified, and a record of your request. In the app, you can switch notifications off in Settings at any time, which removes your phone from our list, and remove the pages saved on your phone with “Clear saved pages”.

8. Children

Our services are not directed to children under 18 and we do not knowingly collect their personal information.

9. Changes

We may update this policy. The version number and effective date at the top of this page show the current version.
